The 5-stage sequence

Our reminder sequence is designed to get you paid while maintaining good client relationships.

Stage 1: Friendly heads-up

When: 3 days before due date
Tone: Friendly reminder that payment is coming up

Stage 2: Due date reminder

When: On the due date
Tone: Clear, professional notice that payment is now due

Stage 3: Gentle follow-up

When: 3 days after due date
Tone: Polite follow-up, assuming they may have forgotten

Stage 4: Firm reminder

When: 7 days after due date
Tone: Direct but professional, emphasising the overdue status

Stage 5: Final notice

When: 14 days after due date
Tone: Final reminder before you need to take other action


What happens after Stage 5?

After the final notice, automatic reminders stop. You can:

  • Send a manual reminder
  • Contact the client directly
  • Mark the payment as written off

  • Customising the sequence

    Pro users can adjust timing and wording to match their style.
